Helpdesk Assistant – Save the Children Jordan

ROLE PURPOSE:
The program helpdesk will be responsible to support and provide Food Vouchers program beneficiaries with all the needed information by documenting all their requirements, clarification and cases in order to share it with FVP staff.
KEY AREAS OF ACCOUNTABILITY:
Support the delivery of effective Programs, in both development and humanitarian contexts, by:
Support the Implementation of all Livelihood project activities based on the program objectives and intermediate results reflected in the detailed implementation plan.
Carry the hotline calls responsibility and react with the needed responses.
Respond to all the beneficiaries’ clarification and cases by answering their calls and meet them if needed.
Document all the beneficiaries’ cases, requests and feedback in official records and advise the field staff on appropriate action. Document and Share all the updates and changed information regarding the beneficiaries record with the Data entry staff in order to update the records.
Assist in Data entry process by verifying all the received IDs from the beneficiaries with the DB and categorize them based on the situation.
Deal with the beneficiaries’ records confidentially and professionally.
Ensure that the Livelihood program is implemented in ways that are responsive to communities and beneficiaries, in line with SC’s principles, values and strategic plan and compliant with SC’s procedures.
Expert in excel sheet and have sufficient knowledge in excel function.
Issue all related reports such as distribution reports, narrative reports, help desk report.
Develop DB and filing system.
Support the field staff in all activities if needed.
Keeps track of source documents received and maintains hard copy files.
Follow up with field staff to collect data, provide lists, forms, prepare source documents.
Identify and interpret data through process of data cleaning and checking for accuracy.
Keep and make available participants records per program and region in excel sheets when required as indicator.
Ability and willingness to dramatically change work practices and hours, and work with incoming surge teams, in the event of crisis or emergency.
Any other tasks assigned by the program Manager.
